About the role

Description

About the Role:

The Accounts Receivable Specialist owns RunBuggy's invoice-to-cash cycle: billing customers accurately, collecting on time, and keeping receivables clean and reconciled. You will be the most experienced AR resource on the team, handle the hardest accounts and disputes, and help the Accounting Manager close the books each month.

This role suits someone who is precise with numbers, persistent with follow-up, and comfortable working directly with customers and internal teams to resolve billing issues.

This role is hybrid (3/2) in Tempe, AZ. Please do not apply if you are unable to come into the office 2-3 days per week.

What You Will Be Doing:

Billing and Invoicing

  • Prepare and send accurate, timely customer invoices; correct errors before they reach the customer.
  • Apply customer payments (ACH, wire, check, card) and match them to open invoices.
  • Issue credit memos and adjustments with proper approval and documentation.

Collections

  • Manage a portfolio of customer accounts, including the largest and most complex.
  • Follow up on past-due balances by email and phone; escalate when needed.
  • Research and resolve billing disputes with customers and internal teams.
  • Recommend accounts for collection agency referral or write-off.

Reporting and Month-End Close

  • Maintain the AR aging report and present key trends to the Accounting Manager.
  • Reconcile AR subledger to the general ledger each month and explain variances.
  • Prepare journal entries for AR activity and support the bad-debt reserve calculation.
  • Track key metrics such as days sales outstanding (DSO — the average days it takes to collect payment).

Process and Team Support

  • Serve as the go-to resource for AR questions; train and support junior staff.
  • Identify and implement process improvements and automation in billing and collections.
  • Support annual audits by preparing schedules and documentation.
  • Maintain customer account setup, credit records, and tax exemption certificates.

Additional Responsibilities:

  • Perform other related duties as assigned.

Requirements

Required Qualifications:

  • High school diploma required. Bachelor's degree preferred.
  • 4+ years of accounts receivable, billing, or collections experience required.
  • Working knowledge of accrual accounting and month-end close.
  • Hands-on experience with an ERP or accounting system (e.g., NetSuite, QuickBooks, Sage Intacct).
  • Intermediate Excel skills: VLOOKUP/XLOOKUP, pivot tables, basic formulas.
  • Clear, professional written and verbal communication with customers.
  • High attention to detail and the ability to manage competing deadlines.
  • Experience in logistics, transportation, automotive, or a high-volume B2B marketplace a plus.
  • Experience with AR automation tools or customer payment portals.
  • Prior experience mentoring or training other AR staff.
  • Ability to remain calm and professional during stressful situations.
