2. Event and Programme Operations

  • Coordinate event logistics, including vendors, catering, guest registration and on-site arrangements.
  • Work with internal teams and external stakeholders to deliver activities smoothly and within agreed timelines.
  • Monitor operational requirements and resolve routine issues to support a professional stakeholder experience.

3. Vendor, Finance and Contract Administration

  • Coordinate with vendors and the finance team to support accurate and timely payment processing.
  • Collect, verify and maintain the required vendor, financial and contractual documentation.

  • Maintain clear records of commitments, payment status and contractual obligations.

4. Co-working Space Operations

  • Manage day-to-day co-working space administration, including tenant access and agreements.
  • Communicate and monitor compliance with applicable house rules and guidelines.
  • Track tenancy periods and upcoming expiries to support timely renewals and exits.

5. Operational Coordination

  • Coordinate administrative activities across teams and stakeholders to support efficient operations.
  • Identify opportunities to improve routine workflows, record-keeping and service delivery.
  • Undertake other duties that support the team’s operational priorities.

Requirements:

Essential

  • A bachelor’s degree in any discipline from a recognised university, or a polytechnic diploma with substantial relevant work experience.
  • At least two to five years of relevant experience in programme administration, office operations, event coordination or a related area.
  • Proficiency in Microsoft Excel for data tracking, reporting and analysis.
  • Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Meticulous attention to detail, sound judgement and consistent follow-through.
  • Effective written and verbal communication skills, with confidence engaging stakeholders at different levels.
  • Ability to work proactively, independently and collaboratively in a fast-paced environment.
  • Willingness to support occasional evening or weekend events, with advance notice where practicable.

Preferred

  • Experience in event operations, including vendor coordination, catering or guest registration.
  • Exposure to contract administration, including reviewing details, coordinating approvals and managing signatures.
  • Familiarity with vendor payment processes and supporting documentation.
  • Experience supporting innovation, entrepreneurship or start-up programmes.
  • Flexibility to support occasional weekday nights and Saturday events.
