  • Develop and maintain project plans, milestones, timelines, RAID logs, action trackers, deliverables, and status reports.
  • Manage project governance activities, including workstream meetings, steering committees, decision logs, and progress reporting.
  • Coordinate cross-functional workstreams and ensure stakeholders remain aligned on priorities, milestones, and deliverables.
  • Identify, monitor, and escalate project risks, issues, dependencies, and resource constraints.
  • Track project progress against agreed timelines and support the development of remediation plans where required.
  • Facilitate project meetings and workshops, ensuring actions are documented and followed through to completion.
  • Support the successful delivery of regulatory, operational, and governance-related initiatives.

Business Analysis & Process Improvement

  • Gather, analyse, and document business requirements from stakeholders.
  • Translate business needs into actionable deliverables and implementation plans.
  • Support process improvement initiatives and operational efficiencies across the Ireland platform.
  • Conduct analysis and prepare recommendations to support decision-making and project delivery.
  • Produce clear documentation, presentations, process maps, and briefing materials.

Stakeholder & Governance Support

  • Build strong relationships across Vanguard Ireland and broader European teams.
  • Partner with stakeholders to understand priorities, challenges, and dependencies.
  • Prepare project updates, presentations, and management reporting for senior stakeholders and governance forums.
  • Support governance activities, including meeting preparation, action tracking, and follow-up activities.
  • Assist with Executive Office initiatives, leadership events, and special projects as required.

Qualifications & Experience

  • Strong experience in project management, business analysis, consulting, operations, or a related discipline.
  • Demonstrated experience managing or coordinating complex cross-functional projects involving multiple stakeholders.
  • Experience developing project plans, managing project governance, and tracking risks, issues, actions, and dependencies.

  • Excellent verbal and written communication skills.
  • Ability to operate effectively in a fast-paced, matrixed environment.
  • Financial services or regulated industry experience preferred.
  • Experience supporting legal entity, regulatory, or organisational change initiatives would be advantageous.
  • Undergraduate degree or equivalent combination of education and experience.
