About the role
Description
Role Summary
The CEO leads a complex enterprise and also owns and oversees a family farm and hunt club, all while
keeping a full family life. This Executive Assistant acts as the CEO's chief of staff for time, information, and
logistics across all three areas. The goal is to protect the CEO's focus, anticipate what's coming, and keep each
area running without the CEO needing to manage the details.
Requirements
Responsibilities
Enterprise Financial Services Firm
• Manages a complex calendar across board, investor, regulator, client, and internal leadership commitments,
and makes priority calls without being asked.
Executive Assistant to the CEO | Confidential Page 2
• Prepares briefing packets before every meaningful meeting: who's attending, what they want, prior history,
and the decision needed.
• Drafts correspondence, memos, and board materials in the CEO's voice.
• Tracks follow-ups and commitments from leadership meetings and pushes for closure.
• Handles material nonpublic information, compensation data, and deal activity with strict confidentiality and
an understanding of compliance obligations.
• Coordinates travel, expenses, and events, including client entertainment and conferences.
• Serves as a trusted, diplomatic gatekeeper with senior executives and outside stakeholders.
Family Farm & Hunt Club
• Coordinates the hunt calendar, guest invitations, and hosting logistics for clients, friends, and family, often
overlapping with business entertaining.
• Liaises with the farm manager, guides, staff, and vendors. Tracks projects, maintenance, equipment, and
seasonal timelines.
• Manages licenses, permits, lease agreements, memberships, insurance renewals, and compliance
deadlines.
• Oversees the club's budget, invoicing, and expenses, and keeps farm and club finances cleanly separated
from business and personal accounts.
• Is comfortable with rural settings, outdoor recreation, and hunting and firearms culture, and can work
alongside that world with respect.
Family & Personal Calendar
• Maintains one integrated calendar so that family commitments are protected, not squeezed in afterward:
school events, sports, medical appointments, anniversaries, and vacations.
• Coordinates household vendors, personal travel, gifts, and occasions.
• Works discreetly and warmly with the spouse, children, and household staff.
• Flags conflicts early and suggests trade-offs instead of simply reporting them.
Qualifications
• 7+ years supporting C-suite executives, ideally in financial services or with a family office.
• Advanced skill with Outlook or Google Workspace, calendar tools, and project tracking tools.
• Excellent writing, judgment, and discretion.
• Flexibility for occasional early, late, or weekend needs, including hunt seasons and travel.
