About the role

EXECUTIVE ASSISTANT TO THE CEO
Department: Executive Office | Classification: Full-Time, Exempt | Reports to: CEO

POSITION SUMMARY

Walters Hospitality is in the business of helping people celebrate life's most momentous occasions. Across our growing portfolio of 45+ wedding and event venues and vendor services, we show up for customers at a moment that matters more than almost any other.

The Executive Assistant to the CEO is the trusted helper behind our executive leadership team. This role supports the CEO first and the ELT as a whole, taking on administrative work for leaders across the company so they can focus on what only they can do. You'll keep calendars, travel, and meetings running smoothly, and you'll help make sure Walters' messages reach our employees clearly and consistently. This is not a decision-making role. Your job is to make sure nothing falls through the cracks.

We're looking for someone who is growth-minded and technology-literate, including AI. You're curious about new tools, quick to adopt them, and always looking for a smarter way to get work done.

THE DAY-TO-DAY

  • Own the CEO's Calendar: Manage the CEO's calendar end to end. Protect time, resolve conflicts, and keep every commitment on track.
  • Support the ELT: Support leaders across departments with scheduling, meeting prep, and follow-up, so they can focus on their priorities.
  • Support Projects: Provide administrative support on cross-functional projects, keeping tasks, timelines, documentation, and follow-up moving.
  • Keep Company Admin Moving: Manage the administrative work that keeps the company running consistently, so routine items never stall.
  • Run Travel and Logistics: Plan and manage travel for the CEO, including trips alongside the CEO, and provide calendar and travel support to the COO.
  • Keep Leadership Meetings on Track: Prepare agendas, board materials, and monthly business review logistics. Make sure action items get tracked and closed.
  • Amplify Company Communication: Help ensure leadership messages reach employees through every channel, including the employee intranet, email, and team updates, on time and on brand.
  • Plan Company Events: Support planning for the annual Summit, round tables, and other company events, from logistics and budget to the details, including food and lunches.
  • Support Culture and Engagement: Help plan round tables, write thoughtful thank you notes, and stay connected with employees across the company.
  • Use AI to Work Faster: Use AI tools to draft, summarize, organize, and streamline recurring work, and share what works with the team.

YOUR SUPERPOWERS

  • You make the leadership team look good. You prepare the details so leaders can show up at their best.
  • You don't let things fall through the cracks. You track commitments, follow up, and close the loop.
  • You're a natural helper. You're happy to pitch in across departments and take on the work that keeps the team moving.
  • You make sure we show up. When the leadership team commits to a meeting, event, or deadline, people count on it, and you make sure it happens.
  • You're a problem solver. When something gets in the way, you find a way through it.
  • You're a self-starter. You see what needs doing and take care of it without being asked.
  • You're confident and highly competent. Leaders trust you to handle things well and to speak for the office with credibility.
  • You have strong emotional intelligence. You read the room, adapt your approach, and build trust with people at every level.
  • You're growth-minded. You learn quickly, take feedback well, and keep raising your own bar.
  • You're discreet and trustworthy. You handle sensitive information with complete confidentiality.

REQUIREMENTS

  • [5+] years of experience supporting senior executives or leadership teams in an administrative, coordination, or operations role
  • Bachelor's degree in business, communications, or a related field strongly preferred
  • Proven ability to manage complex calendars, multi-stop travel, and competing priorities across several leaders
  • Experience drafting or coordinating internal communications is a strong plus
  • Experience managing event logistics and vendors
  • Advanced proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, and Slides) is required. We run on Gmail.
  • Strong technology literacy, including working knowledge of AI tools, with a demonstrated drive to learn new platforms quickly
  • Exceptional written and verbal communication with a polished, executive-ready presence
  • Willingness to travel as needed, including alongside the CEO
  • Must be eligible to work in the United States; Walters Hospitality participates in E-Verify
  • Must submit to and pass background check

WHAT YOU'LL GET

  • Salary Range: $75,000-$95,000 annually, commensurate with experience
  • Health & Well-Being: 85% employer-subsidized medical insurance, plus dental and vision coverage
  • Time to Recharge: Unlimited PTO
  • 401(k) with 4% Company Match
