About the role

We are seeking a detail-oriented, proactive Patient Care Coordinator to support a busy OB/GYN practice. The ideal candidate brings prior medical assistant or healthcare administrative experience—with a strong preference for OB/GYN exposure—and excels in comprehensive chart preparation, medical records tracking, and insurance coordination. In this role, you will take ownership of chart readiness prior to scheduled patient visits, ensuring all progress notes, superbills, lab orders, and ultrasound reports are complete and organized to deliver a seamless care experience.

Key Responsibilities:

  • Pre-Visit Chart Preparation: Prepare complete patient charts prior to scheduled appointments, ensuring appropriate progress notes, superbills, and order forms are accurately selected and organized for prenatal and non-pregnant follow-up visits based on insurance coverage.
  • Records Review & Lab Tracking: Audit recent progress notes to identify outstanding laboratory results, ultrasounds, or external records, actively following up to retrieve missing documentation before patient consultations.
  • Lab Requisitions & Insurance Verification: Verify insurance coverage and prepare appropriate Quest Diagnostics or Labcorp requisition forms in alignment with specific payer guidelines.
  • Patient Care Coordination & Compliance: Maintain complete, meticulously organized patient records and adhere strictly to HIPAA privacy regulations in a remote workflow.

Requirements

Experience: Prior experience as a Medical Assistant, Medical Administrative Assistant, or Patient Care Coordinator. (Direct OB/GYN practice experience is strongly preferred).

Clinical Administration Skills: Hands-on familiarity with reviewing progress notes, coordinating medical records, verifying insurance coverage, and handling lab order requisitions (Quest, Labcorp).

Core Competencies: Exceptional attention to detail, strong organizational habits, and the ability to proactively manage chart workflows independently.

Compliance: Thorough understanding and application of HIPAA regulations and patient data privacy standards.

Please note that this is a full-time contractor position (40 hours per week) with a starting pay rate of $6 per hour depending on skillset and experience. The schedule is Monday through Friday, 9-5 PST.
